Privacy Policy
Last updated 6 October 2026
This policy covers the Smart Vision Institute question bank and our WhatsApp service for paying for and activating courses.
1. Who we are
Smart Vision Institute ("we", "us") is an education provider based in Egypt. We run this question bank website and a WhatsApp service that students use to pay for and activate their courses. We decide why and how your personal data is used, so we are responsible for it.
This policy explains what we collect in each of the two services, why, who receives it, how long we keep it, and what you can ask us to do.
2. Data we collect on this website
When you create an account and study on the question bank, we collect:
- Account details: your full name, e-mail address, phone number and password. The password is stored only in hashed form; we cannot read it.
- Device and connection data: a device identifier and your IP address. Student accounts are tied to one device, and we use this data to enforce that rule and to stop account sharing and abuse.
- Study activity: the questions you answer, your answers and scores, exam attempts, bookmarks, notes, flashcards, points, achievements and your leaderboard position.
- Access records: which modules are activated on your account and the activation code used.
Your name and your points can be seen by other students on leaderboards and in game rooms you join. Nothing else about you is shown to other students.
We use cookies only to keep you signed in and to remember your language and theme. We do not use advertising or tracking cookies, and we do not sell your data.
3. Data we collect on WhatsApp
When you contact our WhatsApp number to activate a subscription, we collect:
- Your phone number and your WhatsApp profile name.
- The payment receipt you send (image or file) and what it shows: the amount, the time, the reference number, and the sender's name or number.
- The e-mail address of your account on our learning platform, so we can activate the right account.
- The text of the messages you send us.
We also check each payment against the statements of our own receiving accounts, to confirm that the money arrived.
4. Why we use your data
- To provide the service you asked for: your account, your study history, and activating the course you paid for.
- To verify that a payment was really made.
- To prevent fraud, such as edited or reused receipts, and account sharing.
- To answer your support requests.
- To keep the financial records the law requires.
We do not use your data for advertising, and we do not sell or rent it to anyone.
5. Automated checks
Payment receipts are read and checked by software running on our own servers. When a receipt cannot be read clearly, the image may be sent to an external artificial-intelligence service for reading only, within strict limits.
No request is finally refused, and no one is treated as having committed fraud, by software alone. Unclear or suspicious cases are reviewed by our team, and you can always ask to speak to a member of staff.
6. Who receives your data
Your data is seen by our own staff who handle activation and support, and by the service providers we rely on to run the services, under agreements that require them to protect it:
- Meta Platforms (WhatsApp), which carries the messages between you and us.
- Our hosting and database providers, which store the data of this website and of the WhatsApp service.
- An artificial-intelligence provider, only for receipts our own software could not read, as described above.
Some of these providers store data outside Egypt, including in the European Union and the United States. We may also disclose data when the law or a court requires it.
7. How long we keep it
- Payment receipt images: deleted 180 days after the request is closed.
- WhatsApp message text: deleted after 365 days.
- Payment and activation records (amount, date, course): kept for as long as financial and legal obligations require.
- Evidence related to an open fraud investigation: kept until the investigation is closed.
- Your question bank account and study history: kept while your account exists, and deleted when you ask us to delete the account.
8. Your rights
Under Egypt's Personal Data Protection Law No. 151 of 2020, you can ask us for a copy of your data, to correct it, or to delete it, and you can object to how we use it.
Message us from the WhatsApp number you used with us, or ask the administrator who manages your account on this site. We answer within 6 working days. We may need to confirm that the request really comes from you.
9. How to delete your data
To have your data deleted:
- WhatsApp: send a message from the same WhatsApp number asking us to delete your data. Using the same number is how we confirm the request is yours.
- Question bank account: ask from the e-mail address or phone number registered on the account.
We delete your profile details, messages and receipt images, and confirm to you when it is done, within 6 working days.
We may not be able to delete the payment record itself or the evidence of an open fraud investigation, because the law requires us to keep them. If that applies, we tell you what we kept and why.
10. How we protect it
Data is encrypted in transit. Receipt images are kept in private storage that only authorised staff can open, through short-lived links. Access to student data is limited by role, and staff actions are logged.
No system is perfectly secure. If a breach affects your data, we will inform you and the regulator as the law requires.
11. Children
Our services are for university students and graduates. They are not directed at children. If you believe a child has given us personal data, contact us and we will delete it.
12. Changes to this policy
When we change this policy we update the date at the top of the page. If a change significantly affects how we use your data, we will tell you through the service before it takes effect.
13. Contact
